Summary:
Although we've transitioned from EnterpriseOne to Workday for all 2024 production operations, our Finance team is presently engaged in 2023 Audit tasks, necessitating comprehensive access to our EnterpriseOne production environment. Extending our current JD Edwards EnterpriseOne Hosting Agreement through April 14, 2025, is essential to facilitate the Audit's completion. The Service Fees effective May 1, 2024, are $11,025 per month.
Following the completion of the Audit this summer, we will shift to a downsized JD Edwards EnterpriseOne Archive service under the existing agreement. The monthly charge for this archive service will then drop to $4,700, accompanied by a one-time implementation fee of $5,000. Within this arrangement, Denovo will supply Olathe with a Read-Only instance of JD Edwards EnterpriseOne accessible to a limited group of users. This Archived instance will grant key personnel across the organization access to comprehensive historical data within EnterpriseOne. This feature holds significance, given that only a limited portion of the data was converted to Workday due to the transformative changes in our operational processes.
Staff recommends approving change order to extend Term until April 14, 2025, between Denovo and City of Olathe for JD Edwards EnterpriseOne Hosting agreement to allow for Audit completion and Archived data solution. We plan to revisit Archive needs on an annual basis.
No Olathe vendors can provide these services.

Financial Impact:
Estimated expenditure for 2024 is $80,375 and will be funded from the planned operating budget.
