Summary:
Ordering and receiving vehicles and equipment remains challenging. There continues to be short ordering windows, and while the City uses Metro Bid base model pricing, auxiliary pricing and specifications from the manufacturer do not become available until the order banks open.
Authorization for the ordering of 2025 vehicles will ensure that orders can be placed when the order banks open, and the City won’t miss out on ordering opportunities for the most competitive pricing. A report of the order(s) placed under this authorization will be included in the next Quarterly Procurement Report provided to the Council after the order(s) are placed.
The resolution, (Attachment B) authorizes the ordering of the vehicles not to exceed the total amount budgeted in the Vehicle Equipment and Replacement Fund for 2025 ($10,351,820). This includes the replacement of 62 existing vehicles and 10 new vehicles, for a total cost of $9.937M plus a 4% contingency budget. This total cost includes the cost of the vehicle plus the equipment.

Financial Impact:
Fleet orders will not exceed the approved 2025 budget of $10,351,820 for the Vehicle and Equipment Replacement Fund.
