Summary:
On November 5, 2019 fourteen (14) proposals were received from firms who could provide on-call landscape architectural design services for the Park Planning and Design division of the Parks and Recreation Department.
The proposed agreements with these firms is on an as-needed basis and may include work such as park site plans, design and construction documents for neighborhood parks, construction documents for implementation of various parts of previous park master plan projects, planting plans, grading plans, preliminary cost estimates, construction administration, design of monument signs and interpretive signs, and trail improvements. Proposals will be solicited on a project-by-project basis and go through the proper channels for approval based on financial commitment required. Three firms were chosen for this agreement because each firm has a specific set of skills related to park design and planning. The firm(s) solicited for a particular project will be chosen based on those skill sets to meet the project needs.
An evaluation team of Park and Recreation staff assessed the proposals based on adherence to the submittal outline, project understanding and approach, relevant experience including past performance with the City of Olathe, and staff and availability. Indigo Design, Inc., Landworks Studio, LLC., and Stantec Consulting Services, Inc. were the highest scoring firms.
Staff recommends three (3) year contracts with annual review with Indigo Design, Inc., Landworks Studio, LLC., and Stantec Consulting Services, Inc Twenty-five (25) local vendors were notified, only one could provide the services requested, and Landworks Studio, LLC is that Olathe vendor.

Financial Impact:
Estimated annual expenditures over the next three (3) years will be dependent on the project(s) needing assistance. Funding will be from park sales tax, park excise tax or grant funding. ___________________________________________________________________
